The Belfry Master Suites Project: Precision Hospitality Fit-Outs by Momentous Relocation
Project Brief
The Belfry Hotel & Resort, internationally recognised as one of the UK’s leading golf destinations, embarked on a major refurbishment of its master suites, ballroom, pre-function areas, and leisure facilities. Momentous Relocation was appointed to manage the full FF&E (Furniture, Fixtures & Equipment) and OS&E (Operating Supplies & Equipment) process, ensuring seamless delivery and installation.
Scope:
- Receiving and logging FF&E and OS&E from multiple suppliers.
- Secure storage with phased release of stock.
- On-site installation.
- OS&E pick-and-pack service for guestrooms.
Receiving & Logistics
Managing large volumes of deliveries of both finished furniture and joinery in a live hotel environment required meticulous planning and attention to detail.
- Every item was checked, logged, and recorded, ensuring complete transparency and accountability.
- Missing or delayed items were flagged quickly, allowing suppliers to be chased and the programme to remain on track.
- Deliveries were carefully coordinated to avoid disrupting the hotel’s day-to-day operations.
- Large joinery items required specialist offloading and were carefully scheduled to ensure safe handling and timely delivery, while allowing other contractors to carry on their work/deliveries. This structured approach assured that the project progressed according to plan while maintaining operational continuity.
Storage & Inventory Management
Prior to installation, all items were consolidated in our secure storage facility.
- Inventory systems ensured each piece could be easily retrieved during phased installation.
- Delicate and bespoke joinery received additional protection and handling to safeguard quality.
- Items were organised in line with the refurbishment schedule, avoiding delays once works began on site.
- Managing large OS&E deliveries and segregation of items into room-specific packs
By applying strict management processes, every piece of stock remained safe, accounted for, and ready at the right stage of the project.
Installation & Coordination
The installation phase required careful coordination between our team, the hotel management, contractors, and the interior design partners.
- Furniture and fixtures were carefully unpacked, assembled, and installed exactly to specifications and floorplans
- Pre-picked and packed OS&E room packs to be delivered as per room guides
- Quality inspections were undertaken at every stage to uphold standards commensurate with a luxury hospitality environment.
- Working closely with contractors and hotel management allowed us to coordinate effective installation schedules to avoid downtime in our own programme and other contractors’ works
With precise coordination and project management, we successfully delivered the project to plan and budget across every area of the resort.
Challenges & Solutions
As with any large-scale refurbishment, challenges arose:
- Tight Timelines: The initial plan and programme to install one floor over multiple days was changed at a very late stage. We needed to quickly develop a new installation schedule that delivered the work in a reduced time frame while staying within budget.
- Integration with Ongoing Construction Works: The installation had to be coordinated around other contractors, many of whom were still completing their work in the areas we needed to access. This was necessary to ensure our installation could be completed on schedule without delays. The only way this could be safely achieved was through clear planning, open communication, and maintaining good relationships with the other suppliers working on the project.
- Large Deliveries: Due to prior programming changes, joinery items that were originally scheduled for direct delivery to the site for installation had to be received at our facility at very short notice. They then required onward delivery, a service not initially required of Momentous. Many of these items required specialist handling due to their size, weight, and construction.
- On-Site Coordination: Our team often worked around unfinished areas, while ensuring our own installations stayed on schedule.
Through flexible planning, clear communication, and proactive solutions, these challenges were managed without compromising on quality or deadlines.
Highlights
The project was successfully delivered on time and within budget, with no damage, despite a busy installation environment. FF&E and OS&E were fully delivered and installed across The Belfry’s master suites, event spaces, and new leisure area.
